What is Google Workspace?

Google Workspace is a suite of cloud-based productivity tools designed to help individuals and businesses collaborate, communicate, and work more efficiently. It encompasses a range of applications and services that streamline tasks, enhance communication, and promote collaboration within organisations.


Key features and components of Google Workspace include:


Gmail: A powerful email platform with advanced features, offering professional email addresses, efficient inbox management, and strong security.

  • replace name@gmail.co.uk with name@businessname.co.uk

  • some clients find emails from a gmail.co.uk address may bounce into their junk, but this is not usually the case with name@businessname.co.uk

  • use email templates to draft standard email replies to initial enquiries that you can customise for each person before you send

  • include a professional email signature with a link to your privacy notice and website

  • optional smart compose features to suggest how to complete sentences

  • nudge features to remind you to follow up on emails that you haven't received a reply to yet

  • send larger files using Google Drive and an email link to the file

  • integrates with DocuSign to enable contracts signing directly within Gmail and saving within Google Drive

  • NEW feature - send your availability via email with bookable slots that integrate wit your Google Calendar


Google Drive: A cloud storage service allowing users to store, share, and access files from anywhere, promoting seamless collaboration on documents, presentations, and spreadsheets.

  • Allows you to work on documents with others in your business such as a virtual assistant

  • A Google Drive app is accessible on your phone which you can enable facial recognition to protect access to your files

  • Access your documents from anywhere - rather than leaving files stored in one single place on your device. This also protects them from loss if your device is ever lost, stolen or damaged as your files are backed up and password protected.

  • Storing sensitive data such as client records is best stored within secure practice management services rather than Google Drive.


Google Calendar: An efficient scheduling and time management tool, facilitating easy coordination of events and appointments.

  • Create empty repeating appointment slots in your diary so that you can easily keep track of your availability for appointments

  • Integrates with practice management software such as Writeupp or Cliniko so you can create appointments in Writeupp and it will export to your Google Calendar

  • Tends to be a poplar choice for integration with other software such as Calendly for online bookings

  • Scheduling features available to enable you to show your availability and offer bookable slots without using external software such as Calendly


Google Meet: A free video conferencing platform, suitable for virtual meetings, webinars, and remote collaboration.

  • Available free to anyone with a Google Account

  • 24 hours time limit for 1:1 calls (with free accounts and paid accounts)

  • 60 minute time limit for group calls for free accounts

  • 24 hours time limit for group calls for paid accounts

  • Noise reduction technology to reduce transmission of background noise

  • Video brightness adjustment to adjust for dark lighting conditions

  • Virtual backgrounds to utilise a professional background and privacy to your calls

  • Integrated with Google Calendar so you can join or create meets direct from your calendar

  • No plug ins or downloads required by those who you invite to join a meeting, except for use on mobile phone whereby a free Google Meet app is required

  • Record meetings, share screen, use breakout rooms, create polls, Q&As

  • Draw out psychological formulations and diagrams live using whiteboard features


Google Docs: A word processing application that enables real-time collaborative editing, making it easy for multiple users to work on the same document simultaneously.

  • if you have a business account you can send documents to clients to sign electronically within Google Workspace which saves a lot of money on using third party e-signature systems and saves sending documents over in word format and requesting client's to attach their signature manually and send back


Google Sheets: A spreadsheet application with similar real-time collaboration features, allowing teams to work together on data analysis and reporting.


Google Slides: A presentation tool for creating and delivering visually appealing slideshows, ideal for professional presentations.


Google Forms: A survey and form creation tool, useful for gathering information, feedback, and conducting online quizzes.


Google Keep: A note-taking and organisation tool that helps users capture ideas, create to-do lists, and keep track of various tasks and reminders.


Google Task: A task management tool designed to help users create and manage to-do lists.


Google Chat Instant messaging tool for quick communication and virtual meetings.
